Techinvenso Technologies ("Techinvenso", "we", "us", or "our") operates a managed B2B software platform comprising Techinvenso HRMS, Techinvenso ERP, Techinvenso Legal, and our corporate website. This Privacy Policy outlines our transparent practices regarding the collection, processing, storage, and protection of information when you interact with our website, request a workflow audit, or utilize our managed software products.

2. Categories of Data Collected

A. Marketing & Sales Inquiries:

When you submit a workflow audit or demo request, we collect your name, work email address, phone number, company name, company size, industry, target timeline, systems to replace, and campaign attribution parameters (UTM source, medium, campaign, referrer).

B. Customer Workspace & Operational Data:

During client implementation and ongoing operations, client administrators and employees submit workforce data (employee profiles, attendance timestamps, leave balances, salary structures, payroll calculations), ERP records (customers, orders, invoices, inventory), and legal matters.

C. System & Diagnostic Logs:

We capture technical telemetry including IP addresses, browser types, session activity, background job status, and security audit events strictly for fraud prevention, SLA monitoring, and platform reliability.

3. Purpose and Legal Basis of Processing

We process data solely for legitimate business purposes:

  • To schedule and deliver customized workflow audits and product demonstrations.
  • To provision, configure, and operate dedicated client workspaces.
  • To perform data migration and reconciliation with client consent.
  • To execute payroll calculations, statutory attendance tracking, and business approvals.
  • To maintain immutable audit logs for compliance, financial integrity, and security verification.

4. AI Data Handling & Model Isolation

Our intelligent assistants and CV evaluation engines (such as LangGraph candidate screening) only evaluate explicit prompt inputs and submitted candidate text.

Zero Public Model Training: Your business records, employee details, and recruitment notes are NEVER used to train, tune, or improve public machine learning models.

Human-in-the-Loop: AI assessments provide explainable criteria scoring and evidence citations; all hiring, payroll, and termination decisions require explicit human review.

5. Hosting Infrastructure & Data Residency

Techinvenso uses managed cloud providers (including AWS and Render) with data centers located in North America and Western Europe as configured in our infrastructure manifests. We do not make unsupported claims regarding specific localized data residency unless explicitly contracted under a dedicated enterprise deployment agreement.

6. Data Portability, Correction & Deletion Rights

In alignment with international privacy standards and Digital Personal Data Protection (DPDP) technical readiness, we provide:

  • Data Export: Authorized administrators can export employee directories, attendance logs, and financial records to standard CSV formats at any time.
  • Data Correction: Profile corrections can be initiated through employee self-service or verified HR administrator updates.
  • Account Deletion: Upon formal contract termination, tenant data is placed in a 30-day graceful retrieval window before permanent cryptographic erasure.
